Job Description

As an Operations Coordinator you’re a tech-savvy professional who is a very good at project management, detail coordination, and interacting with both clients and in-house staff.

Specifically you’ll be the key person supporting our sales and technical support teams. You’ll have complete responsibility for managing project coordination including scheduling meetings, tracking actions, following-up on critical priorities, and ensuring everything is running according to plan. The company will look to you to make sure projects are done on time and meet client needs. And you are the point person for ensuring the customer experience is exceptional.


  • Enhance existing - and develop new - project plans for all our existing engagements.

  • Ensure plan goals are clearly identified and that all tasks are in place and properly resourced in order to support those goals.

  • Track the activities of implementation and customer support to ensure project plans are being executed on time.

  • Develop contingency plans for high risk components of the plan such that if things get off track, you’ve already developed processes to handle.

  • Communicate seamlessly and positively between the various in-house teams and our clients.

  • Become adept at understanding the technologies we recommend so that you can best understand client needs and project details.

  • Support internal group meetings, track actions, and ensure ownership and accountability of action completion.

  • Support sales initiatives, including helping book appointments and scheduling any onsite business with clients.

  • Establish best practices for office processes and procedures, including an escalation process if projects get off track or key actions are falling behind schedule.


Proven experience in project management and/or operations coordination roles.

  • Exceptional organization and planning skills, ideally across complex projects.

  • Excellent verbal and written communication skills with a proven ability to work through the sometimes-conflicting demands of client needs and schedule realities.

  • Superb action tracking and follow-up skills, with experience developing contingency plans for the riskier parts of projects

  • Demonstrated expertise with various PM/operations management tools, specifically Atlassian Jira

  • Solid technical background with hands on experience in digital technologies, and the ability to explain technical issues and decisions in clear, straightforward language.

  • Familiarity with modern software and hardware, including Apple’s product line and leading cloud solution providers like Google, Amazon, and Microsoft.

  • Excellent listening skills and empathy.
